1. Introduction
Amrita Vishwa Vidyapeetham ("we", "our", "us") runs Sevamritam, the seva (volunteer service) management app used by its students and staff, on Android, iOS and the web at https://seva.amrita.edu. This policy explains what information Sevamritam collects, how it is used, and the choices you have.
Sevamritam is for members of the university. Accounts are created by the university from its student and staff records; the app has no public sign-up.
2. Information we collect
- Your university record: name, email address, mobile number, roll number or staff code, gender, and your campus, school, department, programme and class.
- Your participation: the events, sevas and time slots you are assigned to, your attendance (when a QR pass is scanned, a staff member checks in, or a coordinator marks you present), and certificates issued to you.
- What you add: an optional profile photo, photos you take at an event, and requests or messages you send to coordinators. Location data embedded in photos is removed before upload.
- Sign-in information: one-time codes sent to your email or phone, an optional password (stored only as a one-way hash), and a sign-in token for each device, along with sign-in times.
- Location, only when you ask: to show where you are on a seva map or to give directions, the app reads your device's location while you use that feature. The position is sent to our server only to work out the route and is not stored.
We do not use advertising identifiers, show ads, or track you across other apps or websites.
3. How we use your information
- To sign you in and show you the events, sevas and slots that concern you.
- To let coordinators plan sevas, place volunteers on slots and follow attendance.
- To notify you of assignments, changes to your slots and announcements, in the app, by email or by SMS.
- To issue participation certificates and to report participation to the university.
- To keep the service secure and to fix problems.
4. Who can see your information
- Coordinators and staff of an event you take part in see the details needed to organise it, such as your name, roll number or staff code, class and attendance.
- Event photos are visible to members of that event. Coordinators can hide or delete any photo. If you choose to share a photo outside the app, it goes where you send it.
- Service providers that run the service for us: our cloud hosting, email and SMS delivery, and Google Maps Platform for maps and directions. They process data only to provide those services.
- When required by law, or to protect the rights and safety of our students, staff and the university.
We do not sell your personal information.
5. Security and retention
Data is sent over encrypted connections (HTTPS) and kept on servers operated for the university. Access is limited to the people who need it for their role. We keep your information while you are a member of the university and as long as needed for participation records and certificates, after which it is deleted or anonymised. No system is perfectly secure, but we take reasonable measures to protect your data.
6. Your choices and rights
- You can view and update your profile in the app.
- Location, camera and photo access are asked for only when you use those features, and can be turned off in your device settings.
- You can ask us to access, correct or delete your information, or to delete your account, by writing to the address below. We will respond within 30 days. Some records, such as issued certificates, may be kept where the university is required to keep them.
7. Children
Sevamritam is meant for university students and staff and is not directed at children under 13.
8. Changes to this policy
We may update this policy from time to time. The new version will be posted on this page with a new effective date.
